Congress Convenor Checklist

This is a list of things that congress convenors should do (not exhaustive):-

  • Decide on a director, and liaise with him/her to ensure you agree on who is providing what. Item to consider include boards, hand records, personal scoring booklets/sheets, pick-up slips.
  • Line up catering for lunch, end of play and through the day/s.
  • Place advertisements in the local QBA journal.
  • Draw up the entry form, and ensure it is placed on the QBA web site. Send a copy to the director.
  • Take whatever steps are necessary to have the event and entry list promoted on your club's web site
  • Send entry lists periodically to the QBA webmaster for inclusion on the QBA site, or alternatively, advise the webmasters of the link on your own site that will have the list of entries.
  • Draw up and copy personal scorer booklets for the players to use. Determine first from the director what the format will be i.e. how many boards per match, and how many matches each session. Send a copy of the personal scorer to the director.
  • Deal the boards after liaising with the director regarding numbers of sets.
  • Ensure hand record copies will be available for players.
  • Organise caddies. This is a great job for newer players who would like to see what a congress is all about, and you can even make it a half-day role if you can get enough people. The director will fully brief the caddies on their duties.
  • Determine number of categories, and prizes. Liaise with director about dividing the field at apprpriate levels. Determine policy if someone seeded in a lower grade wins a higher award i.e a 'C' category person being second in the B group.
   

Your director will want to be sure about the following - make sure you have agreed with them on all these points:

  • Full list of players needed at least a couple of days before the event, and immediatete notification of any subsequent changes
  • Boards dealt and available at the venue in plenty of time before the starting time
  • Hand records photocopied
  • Personal scorers for players
  • Prizes and categories decided
  • Any stationary pair requirements
  • Availability of caddies
  • Any stationary pair requirements
  • If Bridgemates are being used, who's providing them
  • Getting access to the venue about 90 minutes before starting time
